How to Use the To Do App
Plan your week on Fridays. Show up intentionally every day.

Step-by-Step Guide
Download the App
The Microsoft To Do app is free. Open the App Store, search 'Microsoft To Do', and tap Get. Sign in with your Microsoft or Outlook account — or create a free account if you do not have one.
Understand the My Day View
When you open To Do, tap My Day at the top. This is your daily focus view — it only shows what you have assigned to today. This is where you will live each morning.
Create Your Task Lists
Tap the + icon to create a new list. Set up two lists to start: 'Work Tasks' and 'Personal Tasks.' You can add more later but starting simple is the key.
Add Your Weekly Tasks on Friday
Every Friday, sit down for 10 minutes and think about the week ahead. Add all the tasks you need to complete into your lists. Do not assign them all to one day yet — just get them out of your head and into the app.
Assign Tasks to Specific Days
Open a task and tap Add to My Day to schedule it for today, or tap Due Date to assign it to a specific day of the week. Spread your tasks realistically. If Tuesday is packed with calls — give it only one task. Wednesday has more breathing room? Schedule two or three.
Use the Steps Feature for Complex Tasks
For bigger tasks like 'Solve the onboarding problem at work,' tap the task and use Add Step to break it into smaller actions. This prevents overwhelm and gives you a clear starting point.
Connect to Outlook Calendar (Optional)
If you use Outlook for work, your To Do tasks can appear at the bottom of each calendar day automatically. Go to Settings → Connected Accounts and sign in with your work Outlook account. Your tasks will sync.
Start Each Day in My Day View
Every morning, open To Do and look at My Day. This is your focus list for the day. Not your full weekly list — just today. Work through it in order of priority.
Maria's Tips for Making This Stick
Your weekly goal lives in the lists. Your daily reality lives in My Day. Keep those two things separate — it reduces overwhelm immediately.
If you have a day with 6 hours of back-to-back calls, your My Day should have ONE task. That is not failure. That is realistic planning.
Every Friday when you plan ahead — also review the previous week. What got moved? What never happened? That data tells you how to plan better next week.
Use the Importance flag (the star icon) on your top 1-2 priorities for each day. Those tasks get done first — before anything else.
If a task keeps getting moved to tomorrow, that is a signal. Either it is not actually a priority, or it needs to be broken into smaller steps.
