How to Use the Reminders App

Build recurring habits — personal and professional

Why This Matters

Structure creates freedom. When you build intentional systems into your day, you spend less energy deciding what to do next — and more energy actually doing it. This guide will get you set up in under 10 minutes.

Step-by-Step Guide

1

Open Reminders

Find the Reminders app on your iPhone — it has a white icon with colored circles. If you cannot find it, swipe down on your home screen and type 'Reminders' in the search bar.

2

Create a New List

Tap Add List at the bottom of the screen. Name it something meaningful — try 'Daily Habits' for personal routines and 'Work Rhythm' for professional ones. Choose a color that resonates with you.

3

Add Your First Reminder

Tap the list you just created, then tap + New Reminder at the bottom. Type what you want to be reminded to do — for example: 'Listen to a leadership podcast' or 'Read for 30 minutes.'

4

Set a Date and Time

Tap the reminder you just added. Toggle on Date and choose when you want the first reminder. Then toggle on Time and set the exact time — for example, 7:00 AM for a morning habit.

5

Make It Recurring

This is the most important step. Tap Repeat and choose your frequency: Daily, Weekly, Biweekly, or Monthly. Your reminder will now repeat automatically — no effort required after setup.

6

Suggested Reminders to Set

Start with these: Meditate 5 minutes — every morning at 7:00 AM. Listen to a podcast — every Monday at 8:00 AM. Read for 30 minutes — every evening at 8:30 PM. Read a new article or book chapter — every Sunday at 10:00 AM. Plan next week — every Friday at 4:00 PM.

7

Check Items Off

When you complete a reminder, tap the circle next to it to check it off. It will disappear from your list — and reappear at the next scheduled time automatically.

Maria's Tips for Making This Stick

Start with 2-3 reminders only. A list of 10 reminders you ignore is worse than a list of 2 you actually do.

Put your reminders at times you are already in a transition — right after you wake up, at lunch, or after work. Habit stacking works.

Review your reminders every Friday as part of your weekly planning session — add, remove, or adjust based on how the week actually went.

Use the Flag feature (tap a reminder and tap Flag) for your most important daily habit so it always appears at the top.
