How to Use the To Do App

Apply the MC-MSN framework — plan on Fridays, execute with intention all week

Why This Matters

The goal is to get tasks out of your head and into a system — so your mental energy goes toward leading ILA, not tracking everything you need to remember. This guide will get you set up in under 10 minutes.

Step-by-Step Guide

Download the App

The Microsoft To Do app is free. Open the App Store, search 'Microsoft To Do', and tap Get. Sign in with your Microsoft or Outlook account — or create a free account.

Set Up Your Lists

Tap the + icon and create these four lists: 'Mission Critical,' 'Must,' 'Should / Delegate,' 'Nice / Remove.' This is your MC-MSN framework built directly into your app.

Your Friday Planning Session

Every Friday, open To Do and add everything you need to accomplish next week into the appropriate lists. Do not assign days yet — just get it all out of your head first. Mission Critical only goes to people who cannot delegate it (you). Should and Nice go to the team or get removed.

Assign Tasks to Specific Days

Now go through your Mission Critical and Must lists and tap each task. Use Due Date to assign it to a specific day. Be honest about capacity — if Monday has four calls, it gets one task, not five. If Wednesday is lighter, it carries more.

Use My Day Each Morning

Every morning, tap My Day at the top of the app. This shows only what is scheduled for today. Not the full week — just today. Work through it in priority order. This is your daily focus list.

Use Steps for Bigger Tasks

For complex tasks like 'Prep for fundraiser debrief meeting' — tap the task and use Add Step to break it into smaller actions. This removes the overwhelm of staring at a large item and gives you a clear starting point.

Connect to Outlook (Optional)

If your team uses Outlook, go to Settings → Connected Accounts and sign in. Your To Do tasks will appear at the bottom of each calendar day automatically — so your task list and your meeting schedule are visible together.

Delegate from the App

When you assign a task to a team member, remove it from your Must list and log it in a 'Delegated' list instead. Set a due date with a check-in reminder 2 days before. If it is not in your Mission Critical list, it is not yours to carry.

Maria's Tips for Making This Stick

The MC-MSN sort is the most important thing you do on Friday. If you skip it, you start the week reactive instead of intentional.

A day with heavy calls is a one-task day. Schedule for the week you actually have, not the week you wish you had.

Every time you find yourself picking up a task that belonged to someone else, ask: is this Mission Critical for me, or am I rescuing again? If it is the latter, put it back.

The Delegated list is your accountability tool. If something sits there past its deadline without a status update from the team member, that triggers your check-in script.

Review the Delegated list every Monday morning as part of your weekly check-in. What is outstanding? Who needs a follow-up reminder?
