How to Use the Reminders App

Free up mental space — put your recurring tasks in your phone, not your head

Why This Matters

The goal is to get tasks out of your head and into a system — so your mental energy goes toward leading ILA, not tracking everything you need to remember. This guide will get you set up in under 10 minutes.

Step-by-Step Guide

Open the Reminders App

Find the Reminders app on your iPhone — white icon with colored circles. Swipe down on your home screen and search 'Reminders' if you can't locate it.

Create Two Lists

Tap Add List at the bottom. Create two lists to start: 'Personal Wellbeing' for self-care and home tasks, and 'Work Recurring' for professional routines. Color-code them so they're easy to find at a glance.

Add Your Personal Recurring Reminders

In your Personal Wellbeing list, tap + New Reminder and add things like: Workout, Roller Skate, Laundry, Meal Prep, Rest and Release time. These are the things that keep you resourced — they belong in your system.

Add Your Work Recurring Reminders

In your Work Recurring list, add: Friday Planning Session (look at next week's tasks), Weekly MC-MSN sort, Team check-in on outstanding tasks, Mid-month capacity check. When it is in the app, you stop spending mental energy remembering it.

Set a Date and Time

Tap any reminder you just added. Toggle on Date and choose the first occurrence. Toggle on Time — set it to a realistic moment in your day, not an aspirational one.

Make It Recurring

Tap Repeat and choose your frequency: Daily, Weekly, Biweekly, or Monthly. This is the step that frees up your mental space — it will appear automatically without you having to remember it.

Check It Off When Done

Tap the circle next to a reminder to complete it. It disappears from your list and reappears at the next scheduled time. Your only job is to show up when the reminder does.

Maria's Tips for Making This Stick

Your brain is for thinking, not for storing. Every recurring task that lives in this app is one less thing occupying mental space you need for leading ILA.

Set your Friday Planning reminder for Friday morning — not the weekend. Friday is a work day. The weekend is yours.

Start with 3-5 reminders only. Build the habit of checking the app before adding more to the list.

When a new recurring commitment comes up, add it to the app immediately — before you leave the conversation. If it does not get in, it does not get done.
